Most register sets describe conditions of employment — who works, for how long, on what leave. The provident fund set describes money held on a member's behalf. It is a contribution ledger: wages reckoned for provident fund, the employee's share and the employer's share, recorded month by month against each member and carried forward until the year closes.
That is what makes it unlike the others to keep. A wage register is finished once the month is paid; a contribution ledger is not, because the same figures have to reappear intact twice more. Form 12 states the month, Form 3A restates one member's twelve months, and Form 6A restates the whole establishment's year. In most offices these are three separate exercises done at three different times, which is precisely why they so often disagree. The set also tracks movement in and out of membership in its own right. Joiners and leavers are not merely a change in next month's total — each gets a monthly return of its own, Form 5 and Form 10, filtered on the dates of joining and leaving actually held in the employee record. Alongside them sits the ECR 2.0 challan export: a file written in the layout the EPFO portal reads, generated from the month's computed contributions. CORGIS produces the file. Who keeps this register set
Employers registered with the EPFO in respect of their provident fund members. This is a central Act, so the register set does not change from one state to another — an establishment in Telangana keeps the same forms as one anywhere else in India. It runs in parallel with the ESI registers, the other contribution ledger, and the two are usually prepared for the same month from the same payroll run. Hours, leave, wages and the display notices belong to whichever Act governs the establishment itself, the Shops & Establishments or Factories set.

Form 12PF Register
The month's provident fund contributions across the workforce — the wages reckoned for the fund, the employee's share and the employer's share, member by member. Computed from the payroll already processed for that period, so the register and the payslip cannot show different figures.
Form 3AMember Contribution Card
One card per member, setting out that member's contributions month by month across the year with the yearly totals beneath. Each card is drawn from the same monthly figures that produced the PF register, so a card and the twelve months behind it cannot drift apart. Generated as a single workbook with an index sheet that links to each member.
Form 6AConsolidated Annual Return
The year consolidated across every member — annual contribution totals for each, and the establishment's totals across all of them. Rolled up from the same computed ledger behind Form 12 and Form 3A rather than re-entered from either, which is what keeps the three in agreement when they are read together.
PF ECR 2.0 Challan ExportECR 2.0 Challan Export
An export file in the ECR 2.0 layout, generated from the month's computed contributions — member-wise wages and contribution amounts in the column order the format expects. It is a file produced for upload, not a submission CORGIS makes on your behalf.
Form 5Monthly Return of New Members
Members who joined during the month, with the particulars recorded against each. Filtered on the actual date of joining held in the employee record rather than a separately maintained list, so a mid-month joiner appears in the month they joined and not the one after.
Form 10Monthly Return of Members Leaving
Members who left during the month, with the date of leaving as recorded against them. Driven off that same date, so a member appears here once and then falls out of the following month's contribution register without anyone having to remember to remove them.
Form 5AReturn of Ownership
Ownership particulars for the establishment — owners, occupiers or directors and the branches held against it — entered on the Compliance Data screen alongside the type of business and rendered into the return format. It is the one register in this set that draws nothing from payroll.
All seven are produced as Excel workbooks for the month or year selected, downloadable individually or as one ZIP organised by Act. Because Form 12, Form 3A and Form 6A come out of a single contribution ledger, the annual return and the member cards can be generated the day the twelfth month closes rather than reconstructed from twelve saved files. The ECR 2.0 export is written in the portal's upload layout and handed to you as a file. Form 5A, which has no payroll behind it, renders the blank statutory format until the ownership particulars have been entered.
