Sexual Harassment of Women at Workplace (Prevention, Prohibition and Redressal) Act, 2013

Records under the Sexual Harassment of Women at Workplace (Prevention, Prohibition and Redressal) Act, 2013

This is the one register set in CORGIS that has nothing to do with attendance or payroll. No figure here can be derived from a timesheet or a wage calculation. What these records hold is an account of how a workplace dealt with complaints of sexual harassment: who sat on the Internal Committee and for how long, what was brought before it, what the inquiry found, what action followed, and what awareness work was done during the year.

Because of what they contain, these records are handled differently from everything else in the product. Complainant and respondent names are stored encrypted at rest, and a complaint is deliberately not linked to an employee record. Opening an employee on an ordinary HR screen will not reveal that a complaint involves them, and no search of the employee list can be used to find one. The complaint exists as its own record, readable only through the POSH screens and the workbooks generated from them.

The four records interlock in a way the wage register sets do not. The constitution register establishes who was competent to hear a complaint and during which period; the register of complaints carries the dates, the status and the outcome of each matter; the awareness log records the sessions held. Only the annual report is computed, and it is counted from those three rather than typed, so the figures it reports and the records behind them describe the same year. The pace of all of this is set by events, not by a payroll month.

Who keeps this register set

Workplaces that have constituted an Internal Committee keep these records. This is a central Act, so it sits alongside whichever wage and attendance register set an establishment already keeps — the Shops & Establishments or Factories Act registers are kept in addition to these, not instead of them. Unlike those sets, nothing here depends on how a person is engaged or paid.

4 registers CORGIS generates under this Act

  1. IC ConstitutionInternal Committee (IC) Constitution Register

    • Annual
    • From entered particulars

The constitution of the Internal Committee — each member, the role held (presiding officer, member or external member), the organisation the external member comes from, and the nomination and tenure dates. Entered on the Compliance Data screen, so the register shows the committee as it actually stood across the year, including changes of membership.

  2. ComplaintsRegister of Complaints

    • Annual
    • From entered particulars

Complaints as recorded: the date received, the current status, the outcome of the inquiry and the action taken. Complainant and respondent names are stored encrypted and are not linked to any employee record, so a complaint is not reachable from the employee list or from any other register CORGIS produces.

  3. Annual ReportAnnual Report (Section 21, POSH Act)

    • Annual

The annual report figures — complaints received, complaints disposed of, and complaints pending beyond ninety days — together with the count of awareness sessions held. Counted from the complaint and awareness records already entered rather than compiled separately, so the report cannot drift from the registers it summarises.

  4. Awareness LogAwareness & Training Activity Log

    • Annual
    • From entered particulars

The awareness and training sessions held during the year, with the date of each, the number of attendees and who conducted it. Entered on the Compliance Data screen; the session count carried into the annual report is taken from this log.

All four are produced as Excel workbooks for the year selected, and can be downloaded on their own or as part of the ZIP organised by Act. The three kept by hand render from what has been entered on the Compliance Data screen and print the blank format until it has been, and the annual report counts only what those three contain. Names in the complaint records remain encrypted at rest and are never written back to an employee record — they appear in the POSH workbooks and nowhere else in the product.

Generate these for your own establishment

CORGIS produces each of these as an Excel workbook for the period you choose, computed from the attendance and payroll data already held — individually, or bundled as one ZIP organised by Act.
